Your name.

3. Why do we use your data, and on what legal basis?
Information and document requests
We use your contact details and message to answer your questions, provide requested documents and follow up on your request.
Our legal basis is our legitimate interest in responding to enquiries and providing information about CEIR and its activities. We consider the nature of the request and your reasonable expectations when processing this information.
Membership enquiries
We use the information you provide to respond to membership enquiries and guide you through the application process.
Our legal basis is our legitimate interest in handling prospective membership enquiries. Where you personally request steps before entering into a contract with us, processing necessary for those steps may instead be based on Article 6(1)(b) of the GDPR.
If your enquiry results in membership, we will provide any additional information needed about the processing of data for membership administration.
Website operation and security
We process necessary technical information to operate the website, prevent misuse and investigate technical or security issues.

Optional cookies and similar technologies
Where consent is required for cookies or similar technologies, we request it before using those technologies. Further information is provided in Section 8.
Submitting an information request or membership enquiry does not subscribe you to advertising or a newsletter. We do not use these submissions to send unsolicited marketing communications.
4. How are requests received and stored?
Requests submitted through our website are delivered to the CEIR mailbox at secgen@ceir.eu and handled by authorised persons.
Our website is built and hosted using Wix. Wix processes website visitor data on our behalf where necessary to provide its services.
5. Who can access your personal data?
Access is limited to persons who need it to handle your request or support the website and related systems.
These may include:
-
Authorised persons within CEIR.
-
Wix and its relevant service providers, for hosting and website functionality.
-
Our email service provider, for receiving and storing correspondence.
-
Encore and BATCAVE, where access is necessary for website administration, maintenance or technical support.
Service providers acting as processors must process personal data under appropriate contractual arrangements and our instructions.
We do not sell your personal data. We may disclose information where required by law or where necessary to establish, exercise or defend legal claims.
6. International data transfers
Using Wix and other service providers may involve processing personal data outside the European Economic Area.
Where such transfers occur, applicable data protection requirements must be met through an appropriate transfer mechanism, such as a European Commission adequacy decision or Standard Contractual Clauses, together with supplementary measures where necessary.
Information about Wix’s processing arrangements is available in its Data Processing Addendum.
You can contact secgen@ceir.eu for information about the safeguards applicable to your data and how to obtain a copy.
7. How long do we retain your data?
We retain personal data relating to information and document requests for up to 12 months after our last communication regarding your request.
The same period applies to membership enquiries that do not result in membership.
After that period, the data is deleted unless further retention is necessary to comply with a legal obligation or to establish, exercise or defend legal claims. Any such retention is limited to what is necessary for that purpose.
If an enquiry results in membership, relevant information becomes part of our membership administration. The retention rules for that processing will be communicated separately.
Technical logs and cookie-related information have separate retention periods, determined by their purpose and the relevant service configuration.
8. Cookies and similar technologies
